Inventory and invoicing software that skips the double entry

The usual story: you fulfil the order in one app, then retype every line into a separate invoicing tool — and the two never quite agree. StockZip keeps invoicing inventory-first: the sales order you already picked and shipped becomes the invoice in one tap, so stock, documents, and what you billed always match. It is not your accounting system — it hands your accountant a clean invoice, wherever they keep the books.

stockzip.app
StockZip invoice list showing invoices generated from sales orders, with customers, totals, and statuses

Invoices are the tail end of the order chain — each one is generated from its sales order, so the amount you bill and the stock you shipped are already in agreement.

Three steps, no setup project

How it works

01 · Fulfil the order in StockZip

Record the sale as a sales order against your item list, pick it, and ship it. Stock is deducted as you go and the whole chain writes one history — no separate order tool to reconcile.

02 · Turn it into an invoice in one tap

Generate the invoice straight from the sales order. Line items, quantities, unit prices, taxes, and any discount carry over from what you actually shipped — nothing is retyped, so nothing drifts.

03 · Send it and hand off the books

Finalise and send the invoice. StockZip keeps stock and the audit trail; your accountant keeps the ledger — and in early access, finalised invoices push to QuickBooks Online for them automatically.

Everything you need in one place

Invoice from the sale, not a second app

The sales order you already fulfilled becomes the invoice, so you bill exactly what shipped without re-keying line items into a separate invoicing tool.

Stock and invoices always agree

Because the invoice is generated from the same document that moved the stock, the quantity you billed and the quantity you shipped come from one source — they cannot quietly diverge.

One audit trail end to end

Sales order, pick, delivery, and invoice write a single timestamped history with who did what, so a billing question is answered by the record instead of a reconstruction.

Your prices, taxes, and discounts

Invoice lines carry each item with its quantity, unit price, and tax, plus an order discount — the numbers come from your catalogue and the order, not a re-typed guess.

Hands your accountant a clean invoice

StockZip is not accounting software — no ledgers, tax filing, or payroll. It creates the invoice and, in early access, syncs it to QuickBooks Online, so your accountant works where they already do.

Honest about the plan

Invoicing is a Pro-plan feature, stated up front like every StockZip capability — Free and Starter track stock and can upgrade when they are ready to bill from it.

Frequently asked questions

Is StockZip accounting software?
No. StockZip is inventory software that also generates invoices from your sales orders. It does not do bookkeeping, general ledgers, tax filing, payroll, or financial statements. It creates the invoice and tracks the stock behind it; your accountant, spreadsheet, or accounting package keeps the books — and in early access, StockZip can push finalised invoices to QuickBooks Online so nobody re-enters them.
What plan do I need to create and send invoices?
Invoicing is on the Pro plan and up. Free and Starter accounts can build their item list, track stock, and run the earlier steps, then upgrade to Pro to generate invoices from sales orders. See the pricing page for the exact price.
Can I sync invoices to QuickBooks?
The QuickBooks Online connector is in early access — it is built and sandbox-tested, and we are switching it on account by account rather than for everyone at once. When enabled, finalised invoices (and purchase orders) push to QuickBooks automatically, creating the matching customer and product records. It is one-way: StockZip stays your source of truth for stock. Join the early access list from the QuickBooks integration page.
Does creating an invoice update my inventory?
Stock moves earlier in the chain, not at the invoice. Picking a sales order and shipping the delivery order is what deducts stock; the invoice bills for what that flow already shipped. Because the invoice is generated from the same sales order, the amount billed and the amount shipped stay consistent without a separate adjustment.
Can I set my own tax rates and discounts on an invoice?
Yes. Each invoice line carries the item, quantity, unit price, and tax, and you can apply an order-level discount. The values come from your catalogue and the sales order, so the invoice reflects what you actually agreed and shipped.
Can I invoice a customer without an inventory system?
You could, but that is not what StockZip is for. StockZip is worth it precisely because the invoice comes from real stock movements — the sales order that reserved the goods and the delivery that shipped them. If you only need standalone invoices with no inventory behind them, a dedicated invoicing app is a better fit; StockZip shines when billing and stock are the same system.
