Built for the way you work

What it handles

Beans and freshness

Give each coffee its own item and folder, and scan a bag out as it is opened so you rotate oldest-first and pour down a fresh bag instead of one sitting past its peak. To record roast or best-by dates as a field, use lot tracking (a Pro feature).

Syrups, milks and bar supplies

Syrups, alt-milks, cups, lids, and sleeves each get a par level. When a flavor or a cup size drops to its minimum it surfaces in your low-stock view, so you never have to 86 a drink or run to the store at 8am.

Food and retail bags

Pastries, packaged snacks, and retail bags of beans on the shelf each carry a count and a minimum, and every sale scanned out leaves an audit trail, so you can see shrinkage instead of guessing where the product went.

Scan → track → reorder

How it flows

01 · Scan it in

Add beans, syrups, cups, and food supplies by scanning the barcode with your phone, and drop each into a folder — bar, back stock, retail shelf. The shop is organized from the first delivery.

02 · Adjust as you use it

As a bag is opened or a case is broken into, adjust the count from the phone — add, remove, and log the reason. The stock record and its movement history stay current without a clipboard behind the bar.

03 · Let par levels flag the gap

Set a par (minimum) on the beans, syrups, and cups you cannot run out of. When stock drops to it, the item surfaces in your low-stock view, so nothing quietly hits zero before the morning rush.

04 · Reorder before the rush

Instead of counting the back shelf on a Sunday night, work from what is actually low. Your reorder becomes a quick, confident list built from real usage rather than a guess.

Frequently asked questions

Does StockZip replace my POS, like Square or Toast?
No. StockZip is not a point-of-sale system: it has no register, card payments, tickets, or menu. It tracks what stock you have on hand — beans, cups, syrups, food, and bar supplies — and helps you reorder before you run out. Run it alongside Square, Toast, or whatever POS you already ring sales on.
How do I set par levels for beans and supplies?
Set a minimum on each item — that is your par level. When stock falls to it, the item shows up in your low-stock view so you reorder in time. Low-stock alerts are included on every plan, including Free; the Low Stock report and reorder-suggestion tasks are part of the paid plans.
Can I track roast dates or bean freshness?
On the Free and Starter plans, keep each delivery as stock and scan the oldest bag out first, so you always pour down the freshest coffee. To record a roast or best-by date as a field on the bag, use lot tracking, which is a Pro feature. StockZip does not add expiry dates for free, so pick the plan that matches how closely you need to track dates.
Can my baristas use it too?
The Free plan is single-user. Add your baristas and shift leads on a paid plan — Starter includes three users — with role-based access. Every add, remove, and adjustment is logged with who did it, when, and why, so counts and shrinkage have an audit trail.
What does it cost for one cafe?
StockZip is free forever for up to 100 items with no credit card, which covers a lot of a single small cafe. When you outgrow it, Starter runs $14.99/month billed annually for up to 2,000 items and three users, and your signup price is your renewal price. See the pricing page for the full breakdown.
